Privacy notice
Real Agent Marketing, operated by Great Minds Australia Pty Ltd, an Australian company ("we", "us"), provides websites, domains, digital business cards and online marketing for real estate agents. This notice explains what personal information we collect, why, who we share it with, and the choices and rights you have, including under US state privacy laws.
Information we collect
From agents who use the platform
- Account details: you sign in with Google, a passkey, or your email and password. With Google, we receive your name, email address and profile picture from your Google account; we never see your Google password. A password you set with us is stored only as a salted one-way hash, and a passkey only as its public key: your face, fingerprint or device PIN never leaves your device.
- Your brief: your name, contact details, license details (state, license number and license type), your brokerage and its contact and license details, the areas you work in, your services, the facts you choose to publish, your bio and branding choices.
- Listings and content: the listings and website copy you add or approve.
- Domain registration details: the registrant details required to register a domain, including your name, address, phone and email.
From people who visit an agent's website
If an agent connects Google Analytics, their website uses Google Analytics to count visits and see how people find it. Google processes this information for the agent under Google's own privacy policy. Agents' websites don't use advertising cookies.
From people who contact an agent
When someone sends an inquiry through an agent's website or digital card, we collect the details they enter (such as name, email, phone and message) and pass them to that agent. We handle this information on the agent's behalf, as their service provider, so they can respond.
From people who contact us
When you use our contact form or join our waitlist, we collect your name, email, and any phone, brokerage, area and message details you provide.
Automatically
Like most websites, our hosting provider records technical information such as IP addresses and browser types to keep the service secure and running. We use a cookie to keep you signed in. Our public pages and the agent dashboard use Google Analytics, which sets its own cookies, to count visits, see how people find us and see how agents use the dashboard; Google processes this information for us under Google's own privacy policy. We don't use advertising cookies on this website.
How we use information
- to create and publish your website and digital business card
- to register and manage domains you ask us to register
- to deliver inquiries to the agent they were sent to
- to reply to messages you send us, and to send waitlist invites
- to send account emails such as invites and inquiry alerts, and, unless you opt out, product news and tips
- to check license details you give us against your state's public license lookup
- to bill paid plans
- to operate, secure and improve our service
- to meet our legal obligations
Information you choose to publish on your website, such as your name, photo, phone number, license details and listings, is public by design.
Google Search Console and Google Analytics
Connecting Search Console and Google Analytics is optional and separate from signing in. If you connect them, you give us permission, through Google, to verify your website and add it to your Search Console, set up Google Analytics for it in your Analytics account, and read your site's reports so we can show you a summary in your dashboard. We store the access Google gives us in encrypted form and use it only for these purposes, for you. We don't use Google user data for advertising, we don't sell it or share it with anyone else, and we don't use it to train AI models. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Our main privacy policy has the details.
You can disconnect at any time from the Analytics page in your dashboard, or remove our access in your Google account at myaccount.google.com/permissions.
Who we share it with
We use trusted service providers to run the platform. They only receive what they need to provide their service:
- Cloudflare hosts our platform and agent websites and stores our data.
- Stripe processes subscription payments. We never see or store your full card details.
- Twilio SendGrid delivers the emails we send, such as invites and inquiry alerts. It receives the recipient's address and the message.
- Hostinger registers domains and hosts our inbox. Registrant details are also provided to the relevant domain registry, as registration rules require.
- Anthropic provides the AI model that drafts website copy from your brief. It receives your brief, never your Google data.
- Google provides sign-in, and Search Console and Analytics if you connect them.
We're based in Australia, and our providers store and process information in the United States, Australia and other countries. We take reasonable steps to make sure they protect it.
We don't sell personal information
We don't sell personal information, and we don't share it for cross-context behavioral advertising (targeted advertising), as those terms are used in US state privacy laws. We haven't done so in the past 12 months. Because we don't, there's nothing to opt out of, and we treat a Global Privacy Control signal from your browser as a request not to sell or share in any case.
Your privacy rights
Depending on the state you live in (for example California, Colorado, Connecticut, Virginia, Texas and other states with consumer privacy laws), you may have the right to:
- know and access the personal information we hold about you, and get a copy of it in a portable format
- correct information that's inaccurate
- delete your personal information, subject to exceptions the law allows (for example, records we must keep for tax)
- opt out of the sale of personal information, targeted advertising and certain profiling (we don't do any of these)
- appeal our decision if we decline your request
We won't discriminate against you for using these rights. You can also make a request through an authorized agent, and we may ask them for proof that you authorized them. We apply these rights to everyone in the US who asks, whether or not their state's law requires it.
You can view and update most of your information in your dashboard. To make a request, email hello@realagent.marketing with the subject "Privacy request" and tell us what you'd like. We'll confirm your identity, usually by checking with the email address on your account, and respond within 45 days. If we need more time, we'll tell you why. To appeal a decision, reply to our response with the subject "Privacy appeal".
If you sent an inquiry to an agent through their website or card, the agent decides how your inquiry is used. Contact them first; we'll help them with your request.
Every marketing email we send includes our postal address and an unsubscribe link. You can unsubscribe at any time, and we stop promptly. Account emails, such as sign-in links and receipts, keep coming while you have an account.
Children
Our service is for real estate professionals. It isn't directed at children, and we don't knowingly collect personal information from anyone under 16.
Keeping it secure
We protect information with encryption in transit, Google sign-in, encrypted storage of Google access, single-use links, access controls and rate limits, and we keep it only for as long as we need it for the purposes above or as the law requires.
Changes
We'll update this notice when our practices change and show the date of the latest version at the top of this page.
